Three participant journeys

A thirty-year file with no index and missing PERKESO letters

Challenge

A participant who had worked for three employers over thirty years arrived with a single folder containing several hundred loose documents in date order — but no index, no separation by document type and a significant gap where PERKESO correspondence should have been.

Session approach

The facilitator worked through the structural review sequence: identified the document types present, noted the PERKESO gap and two additional gaps in EPF annual statements, and prepared a written gap record with a labelled folder set to take home.

Outcome

Participant returned three months later at the next clinic session with a reorganised file and the missing PERKESO letters sourced directly from SOCSO. The file was structurally complete for the first time in over a decade. A referral sheet guided them to a licensed financial planner for the substantive questions.

Handover documentation reaching retirees incomplete after a payroll system change

Challenge

Following a payroll system migration, the organisation's HR team noticed that retirees were no longer receiving their full service record letter. Internally, the gap was attributed to different departments without resolution for over four months.

Engagement approach

The documentation flow mapping exercise identified a handoff point between the payroll system and the records management team that had been rendered redundant by the migration. Neither team had been formally told the other's process had changed.

Outcome

A revised handover process was documented in both English and Bahasa Malaysia and adopted within six weeks. Eighteen retrospective service record letters were issued to retirees who had not received complete documentation. Two staff workshops were run to embed the updated process.

Challenge

A private employer enrolled four HR staff in the course after recognising that their retirement support process had been designed entirely from a process management perspective without adequate consideration of what employees actually received and understood.

Course experience

The module on correspondence records was particularly noted. The team had never mapped which letters their organisation was expected to issue versus which were expected to come from external bodies — EPF, PERKESO, Inland Revenue — and at what point in the retirement timeline.

Outcome

The team produced an internal timeline chart of expected documentation for each retiree, adapted from the seasonal reminder chart in the course workbook. Staff reported feeling considerably more confident handling documentation queries from employees approaching retirement.
